Position Description & Responsibilities

We are looking for a talented, energetic, team-oriented Executive Administrative Assistant to support local executives in our office at Ford Field in Detroit. This is a dynamic role where you will be performing executive administrative duties in a fast-paced, high tech environment! If you are a go-getter who thinks quickly on your feet while juggling multiple responsibilities, this will be a great opportunity.

  

 

  • Management of complex calendar and scheduling requirements
  • Prepare and edit correspondence, communications, presentations and other documents using MS Office suite of tools
  • Arrange and coordinate cost effective air/hotel/ground travel for executives
  • Create detailed travel itineraries to ensure smooth travel experience
  • Process expense reports for executives
  • Arrange and coordinate meetings and events
  • Receive and interact with incoming visitors
  • Coordinate facility, telecommunications and IS requests for executives
  • Schedule conference rooms and monitor for proper set up
  • Assist with the coordination and implementation of team/office activities
  • Assist and coordinate space planning activities within the office
  • Close collaboration with administrative peers working as a team
  • Tenant services liaison – coordinate with Ford Field building management
  • Reception coverage, if needed

Qualifications

  • Experience with entire Microsoft Office Suite
  • Positive attitude and ability to work with many people
  • Ability to communicate effectively at executive level
  • Professional demeanor with strong customer service skills
  • High level of integrity with ability to maintain confidential/sensitive information
  • Ability to handle multiple tasks concurrently
  • Ability to work independently as well as in a team environment
  • Effective oral and written communication skills
  • Judgment and decision-making ability
  • Flexibility
